Technology Related Equipment, Software and Services

You are hereby invited by Grapevine-Colleyville Independent School District (GCISD) to submit a proposal for 2023-2024 Technology Related Equipment, Software and Services RFP for needed items and services on an as-needed basis under a multi-year contractual agreement. No quantities are guaranteed. All fees for items required in the Specification and/or Scope of Work/Services, or other reimbursement arrangements must be disclosed. PLEASE NOTE: DO NOT SUBMIT A RESPONSE IF: YOU HAVE BEEN AWARDED ON A PREVIOUS GCISD TECHNOLOGY RELATED EQUIPMENT, SOFTWARE AND SERVICES RFP. YOU HAVE BEEN AWARDED A CONTRACT WITH A PURCHASING COOPERATIVE (BUYBOARD, TIPS, CHOICE PARTNERS, ETC.) Please contact Purchasing if you need assistance determining if you should submit a response to this RFP. TERM - The term shall be from the day after Board Award to June 30, 2024 and automatically renew for four (4) additional one (1) year periods, with final expiration date being June 30, 2028. GCISD has the option to

extend this RFP at the end of the performance period for up to 120 days if determined to be in the best interest of the district to ensure availability of products and/or services. The District anticipates awarding this contract to multiple vendors which is in the best interest of the District. Awards will be made throughout the open period of this solicitation and will be made upon acceptance of a proposal response. As proposal responses are received or on a periodic basis, they will be opened, evaluated, and either accepted or rejected by the district, based on the criteria outlined within this solicitation. Vendors are encouraged to submit responses as soon as possible. Although the District is legally required to accept paper bids, we strongly request that bidders submit this bid electronically. Electronic bidding will eliminate errors, eliminate unnecessary work, and is more friendly to the environment. Your cooperation is appreciated. Any proposal received later than the specified time is disqualified. The District is not responsible for lateness or non-delivery of mail, carrier, etc., and the date/time stamp in the Purchasing Office shall be the official time of receipts.
