Group 1.6: Value-Added Services Instructions: 1.6.1 Proposer should provide a brief summary of any other value-added services or programs which may contribute to the overall value of your proposal, including but not limited to: Training, Industry Partnerships, Support of ASU’s Charter and Goals, Support of sustainable development, veterans’ affairs, initiatives in support of women, wellness, and our changing regional demographics, Support and enhancement of ASU’s reputation as an innovative foundational model for the New American University, Comment to provide significant financial and non-financial support for the University and its signature program. Group 2.1: General Background Instructions: 2.1.1 The University is soliciting Proposals from Persons which are in the business of providing services as listed in this RFP. Failure to include any requested information may be grounds for rejection of the Proposal. 2.1.2 Please present evidence that the firm or its officers have been engaged for at least the past five (5) years in providing services as listed in this Request for Proposal. 2.1.3 Proposer References. Provide, at minimum, three (3) references, not including the University, identifying firms with requirements similar to those of the University. Provide the name of the firm, contact person, email and the telephone number. The University may, but is not required to, contact the provided references and/or additional references not provided by Proposer. Group 2.2: Solution Overview Instructions: 2.2.1 Please provide a high level overview of the proposed locker solution and capabilities. 2.2.2 Provide an explanation of market differentiator(s) for your company’s proposed solution. Indicate what features/functions set your products/services apart from your competitors. Group 2.3: Tempe Campus Proposed Solution (Option 1) Instructions: 2.3.1 Assuming ASU requires the current HAV and PVE locations to be outfitted with your proposed equipment, and considering student density, estimated volumes for parcels, and growth potential, please provide your recommendations in the questions below. 2.3.2 HAV Location - Recommended floor plan for maximizing space utilization for lockers and other equipment, as well as retail space for standard outgoing mail services. 2.3.3 HAV Location - Recommended list of equipment to include number and size of lockers, and any other equipment necessary for the HAV location to be fully operational. 2.3.4 HAV Location - If not indicated above, please specify your recommendation for the amount of square footage that should be allocated for your proposed solution vs. retail space. 2.3.5 HAV Location - Indicate at a high level, any recommending renovations you believe need to occur in order to maximize value for the University. 2.3.6 HAV Location - Indicate any ASU personnel resources you would recommend for this location 2.3.7 PVE Location - Recommended floor plan for maximizing space utilization for lockers and other equipment, as well as retail space for standard outgoing mail services. 2.3.8 PVE Location - Recommended list of equipment to include number and size of lockers, and any other equipment necessary for the HAV location to be fully operational. 2.3.9 PVE Location - If not indicated above, please specify your recommendation for the amount of square footage that should be allocated for your proposed solution vs. retail space. 2.3.10 PVE Location - Indicate at a high level, any recommending renovations you believe need to occur in order to maximize value for the University. 2.3.11 PVE Location - Indicate any ASU personnel resources you would recommend for this location. 2.3.12 Additional Satellite Locations - Indicate additional locations where you would recommend placing lockers on ASU’s Tempe Campus that would require minimal construction/renovation accommodations. Please include the recommended list of equipment to include number and size of lockers, any other equipment necessary for the satellite location(s) to be fully operational, and any support needed from ASU to support such an install. If you have the ability to use a student id, please indicate any experience in utilizing mobile id functionality. 2.9.12 Please indicate your system/software capabilities in relation to accommodating ADA needs. 2.9.13 Please provide a summary of your reporting capabilities. 2.9.14 Please indicate how additional hardware me be added to the system after original implementation. 2.9.15 How many administrative levels are available and what functions can each level perform? 2.9.16 How are user profiles created and what privileges can be extended to individual users? 2.9.17 How can the solution be managed/accessed if there is a power/network outage? 2.9.18 What security features are available systematically? 2.9.19 Please outline any other system capabilities that differentiate your services from others. Group 2.10: Implementation and Training Instructions: 2.10.1 Please indicate any electrical and/or internet connectivity that will be required. 2.10.2 Indicate any hardware requirements that ASU may need to provide that are otherwise not included in the overall solution proposed by you. 2.10.3 Any proposed solution will need to be completed during the summer to ensure minimal disruption to students. There is the potential for a 2024 or 2025 implementation (or a combination of both) depending on availability of internal resources. Please provide any timing considerations ASU needs to be aware of in considering its implementation timeline. 2.10.4 Please provide your project management plan. Group 2.12: Financial Statements Instructions: 2.12.1 Option A. Proposers who have audited financial statements are to provide the following: Audited financial statements for the two (2) most recent available years. 2.12.2 Option B. Proposers who might not have audited financial statements are to provide the following: It is preferred that audited financial statements for the two (2) most recent available years be submitted. However, if not available, provide a copy of firm’s two (2) most recent tax returns or compiled financial statements by an independent CPA. Group 3.1: Pricing Schedule Instructions: 3.1.1 Proposer shall submit a detailed itemized cost proposal via the attached Financial Proposal worksheet. NOTE: All costs must be identified in your response as the University will not pay for any hidden costs. Further instructions are provided in the attached worksheet. 3.1.2 If ASU agrees to reimburse vendor for any travel expenses, all reimbursable travel expenses must be authorized in writing by ASU in advance of the planned travel and must be consistent with ASU Financial Services Policy FIN 421-01, www.asu.edu/aad/manuals/fin/fin421-01.html. If ASU agrees to reimburse vendor for any expenses, vendor will submit all receipts and any required backup documentation to ASU within 60 days after the applicable expenses were incurred. ASU will not be required to reimburse Licensor for any expenses, invoices, or receipts for expenses received after that time. Proposer must acknowledge and accept this provision. 3.1.3 Any pricing and/or revenue offerings in a Proposal may be considered a final offer by the University, whether stated as amounts or percentages, and/or whether or not offered on an all-or-none basis, unless otherwise specified in the Proposal. The University may accept or reject in part or entirely a Proposal’s pricing and/or revenue offerings, unless otherwise specified in the Proposal. A Proposal’s pricing and/or revenue offering may not be modified after Opening unless the University, at its sole discretion, permits such modification. The University may reject any Proposal in which the pricing and/or revenue offering does not conform to the prescribed manner and method in this RFP. Proposer must acknowledge and accept this requirement. 3.1.4 Method of Payment & Discount for Early Payment. Each Proposal shall indicate whether Proposer will: a.Accept payment via credit card at the time of purchase without assessing credit card fees; b.Offer an early payment discount (and describe the offering); c.Accept payment via another method that may be an economical alternative for the University.
