Negotiated Request for Proposals CITY ‘BID’ NUMBER: NRFP18-197 CITY ‘BID/PROJECT’ NAME: SUPPLY AND INSTALLATION OF A RECREATION SOFTWARE SYSTEM BRIEF DESCRIPTION OF OPPORTUNITY/PROJECT: The City of Vaughan (hereinafter referred to as ‘City’) is seeking Proposals from qualified, experienced and interested software Proponents for the supply, installation, and on-going services for a CLASS software replacement solution (Class version 7.1). The purpose of this Negotiated Request for Proposal (NRFP) is to obtain a comprehensive, cloud based, currently-marketed externally hosted software solution that would allow the City to improve current service levels. The proposed solution should be externally hosted, offer

on-line access, be user friendly, provide mobile accessibility, provide statistics, standard reports with the ability to customize reports on an as-needed basis, social media sharing and first-class support, including assisting the City with configuration, training, testing and implementation. Functionality of the proposed software, which is further outlined in the Scope of Work section, should include, but not be limited to: • program registration • facility rentals • memberships • integrated point-of-sale • inventory control • financial administration • security and accounting systems • marketing • customer loyalty • on-line donations • customized reporting The City is committed to seeking innovative and cost-effective ways to continue to do business while maintaining the integrity of the system and a seamless transition for patrons.
