Items to be bid: Qty -minimum 52 75 IR UHD/4K Android IFP interactive touch panels Qty - minimum 52 i5 IPC 128 GB SSD WIFI Bluetooth for 75 Display Qty - minimum 52 Mimio Studio software, installed Qty - minimum 52 Integrated module to add wireless and Bluetooth to panels Qty - minimum 52 Wall mounting hardware and accessories (cables, adapters, etc.) Qty - minimum 52Delivery, wall installation (in location determined by school administrator) and setup Qty - minimum 52 5 year on-site warranty Qty - minimum 52In-person Professional Development training for teachers on panel and software BIDDER REPRESENTATION Page 2 of 2 Each bidder by submitting their bid represents that: 1. based in accordance thereof. 2. Their bid is based upon the materials, systems and equipment described in the project documents without exception. DEFINITIONS 1. A bid is a complete and properly signed proposal to do the work or designed portion thereof for the sum stipulated therein supported by data called for by the bidding documents. 2. Base bid is the sum stated in the bid for which the bidder offers to perform the work described as the base, to which work may be added or deducted for the sums stated in the alternate bids. 3. An alternate bid is an amount stated in the bid to be added to or deducted from the amount of the base bid if the corresponding change in project scope, materials, or methods of construction described in the bidding documents is accepted. 4. A price is an amount stated in the bid as a price per unit of measurements for materials or services as described in the contract documents. PROCEDURES 1. Bids may be delivered in person, by USPS, UPS, FED-EX, or similar courier service. 2. All copies of the bid shall be enclosed in a sealed envelope. The envelope shall be addressed to the owner, and identified with the words BID ENCLOSED, INTERACTIVE SMART PANEL SYSTEMS, Obion County Board of Education plainly written on the face thereof. 3. Bids are to be filled in by typewriter or manually in ink. 4. Bids are to be submitted to: OBION COUNTY BOARD of EDUCATION 1700 NORTH FIFTH STREET UNION CITY, TN. 38261 5. Bids are to be received by 10:00 AM Tuesday, October 18, 2021 6. Bids will be opened immediately thereafter, at the above location. 7. The owner retains the right to review and consider all bids before awarding of any bids. Bids may not be awarded on the same day as bid opening. 8. The owner retains the right to reject any or all bids. 9. It is the intent of the owner to award this project to the bidder who represents the best value to the system, provided the bid has been submitted in accordance with the requirements of this document, is judged to be reasonable, and does not exceed the funds available for this project. The best bid may or may not be the lowest bid. 10. No funds will be encumbered nor orders placed until approved by the Obion County Board of Education at the next regularly scheduled meeting. Per Obion County School Board Policy 5.118 (attached), a signed statement from authorized bidder that all contractors doing work inside any Obion County School System building with potential proximity to students have undergone a background investigation in the past 5 years. To be clear, the Obion County School System does not require a copy of the investigation or any confidential information pertaining to contracted technicians. We only require a signed statement that such an investigation has been conducted and is clear for each contracted worker. PAYMENT OF CONTRACT Payments of contract will be made as follows: 100% of the approved proposal amount will be paid upon delivery and final approved installation. Areas in which CHRI is processed and handled shall be restricted to authorized personnel identified by the Director of Schools. The area shall be out of the view of the public and unauthorized personnel. The Director of Schools shall maintain a list of all employees who have access to, can process, disseminate, and/or destroy CHRI. DISPOSAL OF CHRI When CHRI is no longer needed, it shall be destroyed by burning, shredding, or other methods rendering the information unreadable. Record destruction shall be conducted under the supervision of the Director of Schools. MISUSE Employees who misuse CHRI or violate this policy shall be subject to disciplinary action up to and including termination.
