Tulsa Public Schools (“TPS,” the “district”) wishes to partner with an entity to purchase Computers, Chromebooks, Charging Carts and other associated peripherals as well as warranty and repair services for all district devices in accordance with the terms and conditions outlined in this Request for Proposal (“RFP”). Computers and Chromebooks are an integral component of the Districts Unified Purchasing for Technology. The purpose of the Unified Purchasing for Technology (UPT) project is to create a district wide technology/device (laptops, desktops, and Chromebooks) management model, where the district office can centrally purchase, maintain, and replace technology that is aging or obsolete, thus providing students and staff the most up-to-date device. 2. PERIOD OF CONTRACT PERFORMANCE AND TIMELINE: The partnership subject to this solicitation will commence upon award, with price protection required through June 30, 2025, with four (4) optional one (1) year renewals. Review and Evaluation Week of May 1, 2024 3. CURRENT ENVIRONMENT: TPS is the largest school district in northeastern Oklahoma. The district contributes significantly to the economic base of the area, employing over 5,520 employees. Approximately 33,200 students are enrolled in over 44 elementary/Pre-K schools, 9 middle and junior high schools, and 9 senior high schools as well as over 7 special programs around the district. • Currently the district supports the following number of devices: • Chromebooks - 43,000 • Laptops windows and iOS -10,000 • Desktops – windows and iOS 2,500 4. QUESTIONS REGARDING THE RFP: Email any technical issue and specification questions pertaining to this RFP at RFPpurchasing@tulsaschools.org by 3/14/2024, 4:00 pm. Include a phone number and specifically in reference to the section of the RFP in question. All questions must be submitted in writing. Questions and answers will be distributed to all suppliers solicited to avoid any unfair advantage. These guidelines for communication have been established to ensure a fair and equitable evaluation process for all respondents. Any attempt to bypass the above lines of communication may be perceived as establishing an unfair or biased process and could lead to disqualification as a potential supplier. Any statements made by the district representatives do not modify the terms, conditions, and specifications of this RFP. Any changes to this RFP will be issued in a written addendum to the solicitation. 5. CONTRACT ADMINISTRATOR: The following individual shall serve as the monitor of the conditions of the contract and shall work directly with the contractor on a regular basis in scheduling and coordinating performance of services, answering technical questions in connection with the scope of work, and providing general direction under the resulting contract: Linda Drink, Director of Technology Service Assurance. 6. GENERAL REQUIREMENTS: Proposed devices must support the district’s emphasis on using cloud-based applications such as Google EDU and Microsoft 365. The delivered product must support additional TPS curriculum and instructional uses such as but not limited to the following: • Follett / Destiny • State Testing – Measured Progress approved testing vendor • Administrative, instructional, lab, high end technical applications The proposal should include pricing to provide service and support for current District devices. Current approximate District device counts are: • 10,000 Desktop and Laptop Computers • 43,000 Chromebooks INSTALLATION, MAINTENANCE AND SUPPORT: The vendor is to provide a standard maintenance and support agreement that includes the standard manufacturer warranty plus five
