ANNOUNCEMENT OF EMPLOYMENT OPPORTUNITY Police Records Clerk Police Department Pay Grade: 105 Pay Range: $18.36 to $27.54 FLSA Status: Non-Exempt Deadline to Apply: 11/30/22 Position Summary: Assists with maintaining the records filing system and/or database used to manage, access, and preserve electronic and paper records of criminal justice activities. Essential Duties: Assists general public, Department personnel, and representatives from other agencies in obtaining Police related information both over the phone and in person. Answers all calls for the Police Department except 911 calls; directs to appropriate party. Provides copies of Police reports to citizens, insurance companies, lawyers, City Prosecutor, County Attorney, victim witness, etc. Reviews and enters data from Police reports into computerized records management system. Handles warrants, subpoenas, summons, and related paperwork. Completes mandated state and federal monthly validations of all Police Department entries
into state and federal databases. Files and retrieves Police related documents. Operates various office equipment. Ensures proper disposal of confidential materials and reports that have met state purge criteria. Presents an appropriate image for the organization. Deals competently with people and problems encountered. Performs other duties as assigned. Qualifications: Education and/or Experience: Obtain required certification; three (3) years of fulltime office support or closely related work involving confidential records; or any equivalent combination of education, experience, and training which provides the knowledge and abilities necessary to perform the essential functions of the position. Licensing, Certification, and Other Requirements: Possess a valid Arizona driver's license. Pass a pre-employment drug test, polygraph examination, and fingerprint and background investigation prior to being placed in the position. Type at least 40 words per minute (wpm). Obtain Arizona Criminal Justice Information System (ACJIS) certification of the Arizona Crime Information Center/National Crime Information Center (ACIC/NCIC) certification within six (6) months of hire. Reside within 45 regular driving minutes from work. Pass a test every two (2) years and maintain terminal operator certification status. Ability to keep up with technological changes. Skill in accessing and entering data to update local, state, and federal computer databases. Skill in applying judgment in the release of confidential information. Skill in typing 40 wpm. Skill in communicating, both verbally and in writing as well as individually and in group situations. Ability to follow complex oral and written instructions, policies, and procedures. Ability to establish and maintain effective working relationships with other law enforcement agencies, criminal justice staff, and the public. Ability to deal competently with people and problems encountered. Ability to pass a test every two (2) years and maintain terminal operator certification status. Physical Demands And Working Conditions: Work is performed in a standard City office environment. Safely operates a City vehicle and variety of standard office equipment including a computer terminal, telephone, 10-key calculator, copier, and fax machine requiring continuous and repetitive arm, hand, and eye movement. Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs.
