It is the intent

of the University to award one (1) vendor the contract. However, if in the best interest of the University, the University reserves the right to award in part or in whole, and to award multiple vendors. SCOPE OF SERVICES General EKU Athletics Varsity Baseball requests to initiate a baseball bats, protective gear, catchers protective gear and fielding gloves contract to:  Establish a single supplier for baseball bats, protective gear, catchers protective gear and fielding gloves  Have an assigned company representative servicing the needs of the varsity athletic baseball team in a timely and professional manner  Provide consistency and durability in baseball equipment performance  Promote and protect the brand and image of Eastern Kentucky University  Minimize the cost of supplies and materials purchased through a varsity athletic equipment contract  Obtain the best quality product for durability, performance, and appearance Service Requirements The contract shall provide all required equipment minimum for EKU varsity baseball. The contract will provide baseball equipment; however, the University will purchase equipment from other sources as well. All products supplied shall be durable, within the range of colors required by EKU and conform to the University’s standards for numbers and logos. The University will not incur any shipping charges on products supplied. If products are deemed insufficient by the University at any time during the duration of the contract, the University reserves the right to outsource insufficient products. The contract shall:  Be the single supplier for bats, protective gear, catchers gear and fielding gloves for the EKU baseball program and for certain support personnel and programs.  Provide a dedicated regional contact that is available year round for technical support and makes regular scheduled visits to campus.  Assist the EKU baseball program in activation of retail products and brands within our marketplace, community, and university partners.  Offer incentives to the University (For instance: merchandise credit, signing bonus, sponsorships, scholarships, etc.) Contract Term The Contract resulting from this RFP and the Successful Offeror’s Proposal shall have an initial term from award date through August 31, 2022. The Contract shall be renewable for up to four (4) consecutive one (1) year renewal periods. The total contract period will not exceed five (5) years, subject to KRS 45A.145. Annual renewal will be contingent upon the University’s needs and satisfaction with the services performed and the overall performance of the Contractor. The University reserves the right to renegotiate any term and/or condition as may be necessary to meet requirements for any renewal period.
