SUMMARY:Through this Request for Proposals, the City of Merritt (the “City”) invites Proposals from suitability qualified organizations to provide an asset management program comprising of two key deliverables:Deliverable #1: an Asset Management Plan, including analysis and development of a long-term financial strategy in conjunction with the City’s 2025 budget cycle. The Asset Management Plan shall commence by April 30, 2024 and be complete by October 15, 2024.Deliverable #2: provision of an Enterprise Maintenance Management and Asset Management Solution (EMM-AMS) software. The software shall provide a single platform to be used across the City to plan, manage, maintain, and account for assets. Implementation of the software should be achieved by June 1, 2025. The software will be provided with 5 years of ongoing licensing, maintenance and support following ‘go-live’.The City requires one contractor that will perform both deliverables, and will not split the contract. The City has a maximum budget of $200,000 (excluding taxes) available to cover both; all Services of Deliverable #1, plus all Services of Deliverable #2 except for the 2 nd to 5 th years of the 5-year User Licensing and Ongoing Maintenance Support. The 2 nd, 3 rd, 4 th, and 5 th years of User Licensing and On-going Maintenance & Support following ‘go-live’ of the Software will be paid from a separate additional budget.
