The District's mission protects public health and the environment through world-class, cost effective water resource management, leadership, and partnership. The District is seeking qualified candidates for the position of Human Resources Coordinator in the Executive Director Division. Reporting to the Human Resources Manager, the Human Resources Coordinator provides quality and efficient assistance to the Human Resources Department, ensuring its customers receive exceptional service. This position also manages the District’s Work Study Program as an instrumental step towards piquing the interest of the workforce in the District's
water-related careers. Essential Duties and Responsibilities: Manage the District’s Work Study Program by reviewing all incoming requests for intern/co-op positions.Create job bulletins, post open internships on numerous job boards, reach out to partner organizations to disseminate those opportunities, and attend local college job fairs.Review intern/co-op applications & resumes and promote diversity among interviewees. Coordinate interview schedules.Conduct all intern/co-op and full-time employee background checks, education verification, driver abstracts, reference checks, schedule pre-employment testing, create offer letters, administer intern new-hire orientation, handle onboarding process, and organize intern/co-op summer activities.Conduct check-ins with participants midway through program, conduct end-of-program intern/co-op lunch, and oversee and complete intern/co-op off-boarding process.Assemble and email various documents for the HR Generalist to conduct new hire orientation of full-time employees and collaborate with HR Generalist during the open enrollment process for necessary documents to be uploaded to SharePoint.Prepare commission documents for the HR Manager and submit to Executive Director’s office.Input purchase requisitions and reconcile P-Card activity report. Provide recruitment assistance to HR Generalist to include the review of personnel requisitions and initiate SharePoint workflow, post job advertisements, schedule interviews, assemble and distribute interview packets, create PowerPoint presentation, and guide interviewees through the process. Schedule all new hires and interns/co-ops for mandatory District training.Update and maintain HR SharePoint site. Scrutinize training request forms for accuracy, track training cost for each cost center, and notify the Executive Director when training request is over budget.Coordinate the Water Environment Federation Utility Partnership Program to include all interested employees.Create and distribute EAP newsletter for District employees.Retain HR records to policy and log with Records Department.Oversee the District’s education reimbursement program, validate application information, determine course work is related to employee’s position or position of interest, confirm appropriate receipts and grades submitted within policy timeline, and provide the Finance Division with details to process payments and refunds.Complete special projects as assigned. Qualifications: Associate degree in human resources or related field of studyTwo to three years of relevant human resources experience; or an equivalent combination of education and experiencePrevious human resources administrative/coordinator experienceExcellent interpersonal, written, and verbal communication skillsMust have proven customer service experienceAbility to work independently Ability to work with and maintain high degree of confidential HR informationAbility to prioritize and multi-taskComputer software proficiency Supplemental Information: MMSD is committed to equal employment opportunity and to nondiscrimination in all aspects of the employment relationship.
