Facility Services: Reception remodel Only Manual Bids Allowed

Notice Summary
1. Introduction

Oregon Cascades West Council of Governments (OCWCOG) manages a variety of local, State, and Federal programs to serve residents, local governments, and businesses in the Lincoln, Benton and Linn counties of Oregon.

OCWCOG is recognized by the state of Oregon as an Area Commission on Transportation (ACT) and a Type B Medicaid Transfer Agency. Additionally, the association is recognized by the Federal Government as an Area Agency on Aging (AAA), an Economic Development District (EDD), a U.S. Small Business Administration (SBA) Revolving Loan Fund Coordinator, a U.S. Department of Agriculture Revolving Loan Agency, and staffs the two Metropolitan Planning Organizations (MPOs) in the region. These designations increase OCWCOG's ability to serve our communities' needs.

OCWCOG has over 180 full time employees and another 60+ part-time or volunteer personnel at other remote sites. The OCWCOG network spans three counties, and

provides member governments with a variety of information services.

Estimated term for the Work Order Contract: June 1 - July 30,2021


2. Background Information
We are looking to expand the reception area at our Albany location to better serve our customers.


3. Scope of Services:
- Remove all glass that is in reception area now
- Remove all counters
- Move auto door into waiting area along block wall
- Remove the closet in back of reception area/ conference room
- Install new wall from front of reception to auto door
- Install all new counter tops, carpet, wall where closet is being removed
- Install new LED overhead lighting
- Install new ceiling tiles where walls will be removed
- Moving and installing new electrical outlets
- Moving and installing new network cabling outlets
- Need three open reception stations at front counter
- Need three box/box/files cabinets one at each station.
- As-built drawing for new layout in building


4. Questions and Requests for Clarification:

All questions and requests for clarification regarding this RFQ must be submitted in writing by e-mail to the Authorized Representative and must be received no later than 23:59 May 21, 2021

Authorized Purchaser may issue revisions, substitutions or clarifications of the RFQ through an Addendum, if any.


5. Offer Submittal:

Due to the COVID-19 Pandemic, offers must be received on or before the Offer Due Time and Date via email only: Kent Wullenwaber
kwullenwaber@ocwcog.org. Authorized Purchaser, in its sole discretion, may extend the Offer Due Date and Time.
Offers will not be accepted after the Offer Due Date and Time.


6. Submittal Requirements:

a. The Offer and Pricing Sheet must be signed by an authorized representative of the Offeror;

b. Offers must include a description of Offeror's methodologies for providing the Services;

c. Offers must include a description of Offeror's Key Persons, other staff, and their experience;

d. Offers must include a description of past projects Offeror has completed that are similar in scope to what is being requested in this RFQ. Similar in scope means time, extent of included tasks, and total cost;

e. Offers must include submission of a RFQ Statement of Work based upon the Scope of Services above.
