Call 361-573-0731x210 While this contract is national in nature, Region III ESC/PCA encourages local vendors to respond in order to continue providing services to the 40 school districts in the Region III ESC service area in and around Victoria, Texas. Other local vendors in states other than Texas are encouraged to respond so they can work with their local PCA Members. In TAB 7 Vendor Questionnaire and Company Profile, vendors will be asked to choose the states, US territories, NAFTA, and Texas Education Service Centers that they would like to work with. Please check all that apply to your company. Region III ESC/PCA is seeking to contract on a regional or national (or local area - you decide where you want to work) basis with one or more companies with the experience and qualifications for vendors to furnish and/or deliver Heavy Equipment Rental, Maintenance, Parts, & New and Used Sales to include; but not limited to, bull dozers, scrapers, compactors, backhoes, maintainers, asphalt & concrete paving, trucks, portable cranes, container fork lifts and other construction equipment the compliance requirements for working with public agencies including, but not limited to, public institutions such as State & Federal Agencies, Hospitals, Law Enforcement Agencies and Courts, Schools, Universities, Cities and Counties; as well as some non-taxed non-profit organizations such as Charter Schools and religious entities. Description of Product(s) and/or Service(s) Region III ESC/PCA is seeking to contract with vendor(s) who can provide the following items regarding Heavy Equipment Rental, Maintenance, Parts, & New and Used Sales; including, but not limited to: bull dozers, scrapers, compactors, backhoes, maintainers, asphalt & concrete paving, trucks, portable cranes, container fork lifts and other construction equipment. ? Rental ? New Equipment & Used Equipment Describe product(s) and/or service(s) the Vendor is proposing to provide PCA Members. Provide a matrix that will allow the PCA Evaluation Committee to readily appraise the Vendor’s products and/or services offering versus other Vendors, if available. Provide the following specifications, if available: ? NEW EQUIPMENT • The respondent shall list the total line of new equipment being sold. Show the manufactures advertised model and suggested retail price with your discount off in tab 6 pricing. ? Model Number ? Brand ? Description ? description of the machines capabilities such as horse power ratings bucket and blade sizes for a rapid assessment of each machine ? USED EQUIPMENT • List the total used equipment being sold and discount off of your published price • Date of manufacture • Model Number • Clock hours • Describe in detail the warranty being supplied ? What is covered, parts and labor, and additionally any extended warranty period with pricing in Tab 6. ? FOR NEW & USED EQUIPMENT • List any operator certification requirements and training offered for the equipment being offered • Equipment Insurance ? Is the equipment insured by the dealer for rental use? ? Can it be provided and at what cost and exclusions? • Maintenance ? Will the equipment be maintained under the lease? If so, specify the turnaround time for break downs, will a replacement machine supplied if needed? • List all associated costs in the pricing section (Tab 6) with the equipment rates with discount. ? If operators may be supplied as an option with the equipment please note the hourly rates for each. ? Please detail transport costs & fees (Permits etc.) associated with each piece of equipment to be transported ? If applicable rigging charges associated in the (Cost section Tab 6). • Provide other specifications as necessary If you would be interested in responding, please register as a VENDOR on the PCA website, www.pcamerica.org/vendor. Once you are approved, you will receive a password that will allow you to download the solicitation and respond. If you do not receive a password, call 281-591-4707 for assistance. There are two methods of responding to this RFP. Choose one method, follow the instructions in the RFP and submit your response before the deadline. Manual (Hardcopy) Method 1) Download the RFP. The RFP is segmented into TABs. 2) Read the Introduction (Tab 1) and Instructions (Tab 2) and follow them carefully. 3) Read the Terms and Conditions (Tab 3). This part of the solicitation is required so that the contract, if awarded, is legal and can be used in all states and territories of the U.S. and complies with purchasing laws concerning government entities and non-profits. 4) Have all the proper signatures in place on the documents in Tab 4. 5) The rest of the Tabs require a response; if a question does not apply to your company or products, enter “not applicable or N/A. 6) Prepare 3 binders and a USB Jump Drive that include the Original RFP and your response to the RFP. 7) Mail, FedEx or other carrier, the binders to Region III ESC as per the instructions - or - drop off the binders at the Region III ESC. Make sure the package is marked properly and that it will arrive at Region III ESC BEFORE the deadline. Electronic (Website) Method For electronic submittal: LOG-IN, then upload the sections so they will be automatically put in your company file in the database. 1) The RFP is segmented into TABs on the Website. You can download the entire RFP for review or you can download each Tab. 2) Read the Introduction (Tab 1) and Instructions (Tab 2) and follow them carefully. 3) Read the Terms and Conditions (Tab 3). This part of the solicitation is required so that the contract, if awarded, is legal and can be used in all states and territories of the U.S. and complies with purchasing laws concerning government entities and non-profits. 4) Download the signature pages in TAB 4 and have all the proper signatures in place on the documents. Create .pdf’s. Upload into Tab 4 on the Website. 5) The rest of the Tabs require a response; read requirements and create response as applicable. If a question does not apply to your company or products, enter “not applicable” or N/A. Create .pdf and upload in appropriate Tab on the website. 6) You can upload documents as you create them into the proper Tab; select SAVE after uploading. Once you have uploaded and saved your entire response, click on SUBMIT. Once you hit SUBMIT you cannot upload any further responses. 7) Make sure your response is saved and submitted BEFORE the deadline.
