Bid Title:Vehicle Maintenance and Mechanical Services for Marked and Unmarked Police Vehicles Category:Bid TabulationsStatus:OpenBid Recipient:Division of Police Description: The City of Vandalia will receive sealed proposals for the mechanical and maintenance service for police patrol vehicles and unmarked vehicles for the Division of Police. The bids will be publicly opened and read aloud on Monday, February 26, 2024, at 9:00 a.m. in the Justice Center Community Room. Copies of the specifications are on file and may be obtained in the office of the Police Chief at 245 James E. Bohanan Memorial Drive, Vandalia, Ohio. They may be picked up on Monday through Friday, 8 a.m. to 5 p.m. The proposal shall be signed by the full name and business address of each person or company interested in same. The proposals must be made on forms provided therefore in the specification packet, or a copy thereof, with a price quoted for all equipment. Bidders must specify service center location and
include warranty term. Envelopes should be marked “Vehicle Maintenance Bid.” The City of Vandalia reserves the right to accept or reject any and all proposals; to waive any informality in the bidding; and to enter into contract with the bidder who in its consideration offered the lowest and best proposal. The City of Vandalia has a desire to award contracts involving City concerns and funded by City money, to individuals and businesses that are located within the City of Vandalia. Where a preliminary analysis of the bids identifies a bid from a Vandalia individual or business, city council may give a preference to the Vandalia bid and award the contract to the Vandalia bidder when: (i) such bid is within 5% of the lowest bid price (for a low bid of $50,000 or less) or within 2% of the lowest bid price (for a low bid price over $50,000), and (ii) but for the bid price, the Vandalia bid would otherwise be considered the lowest and best bid by the City in its normal evaluation procedures in deciding whether or not to award the contract. The Vandalia Division of Police is interested in contracting for vehicle maintenance and mechanical service for specific makes and models of vehicles in our fleet including, but not limited to 2018-2026 Ford Interceptor Utility police vehicles. Bid requests must include quotes for all maintenance and mechanical services listed below. Because of the need for patrol vehicles to be in good operational condition at all times, businesses wishing to submit a quote must be willing to complete most repairs and maintenance on short notice without the need for appointments. Typical maintenance and repairs include, but are not limited to: Oil change (five quarts of full synthetic quality motor oil, include charge for extra quarts of oil, lubrication, brake inspections, and all applicable disposal fees)Tire rotationAir filter replacementTransmission flush, including transmission filter replacementCoolant flush, including thermostat replacementFront brake service, including replacement of brake pads and machining rotorsFront brake service, including replacement of brake pads and rotorsRear brake service, including replacement of brake pads and machining rotorsRear brake service, including replacement of brake pads and rotorsFlush brake lines and replacement of brake fluidTire repairReset/synchronization of tire pressure monitoring system (TPMS)Computer diagnostic testing Hourly labor rate Quotes should include the costs of parts, shop supplies, disposal fees, and any other costs associated with the service performed. All parts are to be OEM parts or aftermarket parts certified for emergency vehicles. All mechanical services and repairs must be performed by ASE-certified auto mechanics. All parts and service must include a minimum of 90 days parts and labor warranty. Special Requirements: Quotes should include the costs of parts, shop supplies, disposal fees, and any other costs associated with the service performed. Because of the need for patrol vehicles to be in good operational condition at all times, businesses wishing to submit a quote must be willing to complete most repairs and maintenance on short notice without the need for appointments. Miscellaneous: This contract shall run for a period of two years, renewable for additional two year increments if mutually agreed to by both the City and the contractor.
