There are some items we stock in the warehouse where inventory levels are sufficient at this time. Those items may be listed with a “1” quantity. Please list a unit price in the event that levels drop considerably. 2. Please provide bids for any or all items that your company can provide. On any order that may result from your bid, the terms, conditions and provisions in this letter will apply. 3. Dollar amounts for bids must be submitted as dollars and cents. Do not extend out further (i.e. $1.52 not $1.519). PRICING THAT IS EXTENDED OUT WILL BE ROUNDED UP. 4. Product must be packaged as specified in the bid. Product delivered to the warehouse not packaged as specified will be returned at the cost of the vendor. Please indicate
number of packages per case and number of cases per pallet. 5. Complete information (brand, vendor item number, etc.) must be provided on our bid form; otherwise, your quotation offer will be rejected. 6. Your bid is to include any or all costs involved for total cost including shipping and handling to our warehouse located at: BDO Warehouse #10A, 200 North 930 West, Ogden UT 84404. Bids are to be FOB Destination, Freight Prepaid. 7. Vendors who do not provide the quality/brand requested or provided in samples will be responsible for picking up those items and replacing them with the quality requested. The cost of freight or any and all other charges incurred because of returns will be that of the Vendor and not the District; and the Vendor will also risk removal from the bid list for one year. 8. Awards may be made to the lowest responsive and responsible bidder per line item or to the overall lowest responsive and responsible bidder - whichever is in the best interest of Weber School District. 9. Questions regarding this solicitation MUST be submitted through BidSync during the designated time for questions (Q&A period) listed on BidSync. Questions submitted through any other channel, including phone and email, will not be answered. 10. Preference will be given to vendors who bid on all line items for ease of order and delivery. 11. Weber School District reserves the right to consider vendor-specific customer service and billing issues when awarding bid. Any contract resulting from this RFP will include, but not be limited to the Standard Terms and Conditions. 1. Exceptions and/or additions to the Standard Terms and Conditions are strongly discouraged. However, any requested exceptions and/or additions to the Standard Terms and Conditions must be submitted with the proposal. Exceptions and/or additions submitted after the date and time for receipt of proposals will not be considered. Offerors may not submit requests for exceptions and/or additions by reference to a vendor's website or URL. URLs provided with a proposal may result in that proposal being rejected as non-responsive. Offerors may submit questions during the Question and Answer period regarding the Standard Terms and Conditions. 2. The District may refuse to negotiate exceptions and/or additions that are determined to be excessive; that are inconsistent with similar contracts of the procurement unit; to warranties, insurance, or indemnification provisions that are necessary to protect the procurement unit after consultation with the District's General Counsel Office or other applicable legal counsel; where the solicitation specifically prohibits exceptions and/or additions; or that are not in the best interest of the procurement unit. 3. In a multiple award, the District reserves the right to negotiate exceptions and/or additions to terms and conditions in a manner resulting in expeditious resolutions. This process may include beginning negotiations with the Offeror having the least amount of exceptions and/or additions and concluding with the Offeror submitting the greatest number of exceptions and/or additions. Contracts may be executed and become effective as negotiations are completed. 4. For any proposed change(s), Offeror must provide the District's Standard Terms and Conditions for this solicitation in Microsoft Word format with redline edits. Additional terms or documents must be submitted in separate Microsoft Word documents. Offeror must also provide the name, contact information, and access to the person(s) that will be directly involved in legal negotiations. 5. Any mandatory required acceptance of an Offeror’s terms and conditions may result in the proposal being determined to be non-responsive. 6. An award resulting from this RFP is subject to successful contract terms and conditions negotiation (if required). The District may reject a proposal if the offeror who submitted the proposal fails to sign a contract within 90 days after the contract award. 7. See attached Terms and Conditions.
