RFP 22-09 RVC Multi Functional Printers Replacement Project Description :This Request for Proposals (the “RFP”) is an invitation by Rocky View County (the “County”) to qualified prospective proponents to submit proposals for the County’s Multi Functional Printers’ Replacement, as further described in Section A of Appendix D of this RFP. Through this RFP Rocky View County seeks to: (a) Select the Preferred Proponent with whom to negotiate a contract (b) Specify the requirements that would govern any resulting agreement(s). (c) Determine costs as per listed table in the Appendix C It is the County’s intention to enter into a contract with one proponent. The County is using a multi-stage, Request for Proposal (RFP) procurement process to select a proponent: (a) Proposals will be submitted and evaluated as described in this RFP. (b) Evaluations will be multi-stage as described further in this document (c) After evaluations, the proponent with the highest overall score will become the

County’s preferred proponent for negotiation into a Contract. (d) Should a Contract not be reached to the County’s satisfaction with the preferred proponent, the County may select another proponent for negotiation. (e) Contract and pricing negotiations will be entered into with the preferred proponent. It is the County’s intention to conduct negotiations with proponents based on rankings resulting from the evaluation of the proposals. These negotiations may be with respect to the description of work, price, terms, conditions, or any other matter forming part of this RFP. The negotiation stage of the RFP will not provide proponents the opportunity to submit information that should have been included prior to the proposal deadline. If contract negotiations with the Preferred Proponent are unsuccessful, the County will discontinue negotiations with the Preferred Proponent and may begin the negotiation process anew with the proponent with the next highest overall score, who then becomes the Preferred Proponent, and so on.
